We wrote this guide because trust is earned, not assumed.

You've worked hard to build your dojo and the trust of your members. Before you hand any data to a platform, you deserve straight answers — no marketing fluff. This covers data security, migration, compliance, and every concern dojo owners have raised so far.

Chapter One

Data Security & Privacy

Encryption everywhere

All data is encrypted in transit via TLS 1.3 and at rest using AES-256 — member names, contact details, payment records, and belt history alike.

Managed cloud infrastructure

Dojo Mojo runs on Vercel (application) and Neon serverless Postgres (data). Physical security and patching sit with those providers, not a small team.

You own your data

Your member data is yours — not ours. We do not sell, share, or analyse member profiles for advertising. We're a tool, not a data broker.

Access controls

Only you and the staff you invite can see your dojo's data. Support can access your account only with your consent, and every access event is logged.

Payment security

Payments run through Stripe — PCI-DSS Level 1 certified. We never store raw card numbers on our servers.

Right to deletion

On a deletion request, a member's personally identifiable information leaves active systems within 30 days and ages out of encrypted backups within the retention window. Aggregate, non-identifiable analytics may be retained per our privacy policy.

Who at Dojo Mojo can see my members' data?Security
No staff member can access your dojo's records without your explicit permission. Open a support ticket and you'll be asked to grant temporary read access. Every access event is logged with a timestamp and the staff email, and you can request that log at any time.
What happens to member data if I cancel?Security
You get a 90-day grace window after cancellation to export everything. After 90 days, data is purged permanently. We send reminders at 30, 14, and 3 days before deletion.
Is Dojo Mojo compliant with Japan's APPI?Legal
Yes. We handle personal information (個人情報) in accordance with the Act on the Protection of Personal Information (個人情報の保護に関する法律): a privacy policy published in Japanese, a defined retention period, and a process for members to view or delete their information. Where your data lives: member data is hosted in Neon's Tokyo AWS region (ap-northeast-1). Any cross-border transfer relies on a data-processing contract obliging the recipient to maintain protection equivalent to APPI. The only third parties that touch member data are Vercel, Neon, and Stripe — each under a data-processing agreement.

Chapter Two

The Dojo Operational Ecosystem

Dojo Mojo operates in three distinct phases designed to let you transition at your own pace — from a simple map entry to full financial checkout integration.

1. Listed / Directory-Only

A free, public-facing map profile. Features an AI-extracted informational schedule discovered from your official web pages, letting students find you natively. You don't have to manage anything yet.

2. Claimed / Verified

Claim your profile to verify your location credentials and take over schedule management. Access the Backend Operations Dashboard to fix times, log manual cash payments, track belt classes, and view student history.

3. Operational / Checkout Live

Connect your Stripe account to fully automate dojo operations. Enable direct member registration, recurring card billing, and automated check-ins. Maximize mat time and let operations run themselves.

Chapter Three

Migrating From Another Platform

Switching platforms feels risky. The migration process is built specifically to remove that risk. Here's exactly what it looks like.

Export your existing data

Export a CSV or Excel file of members (name, email, belt, membership type, start date) from your current platform. Most — Mindbody, TeamUp, Zen Planner, Google Sheets — support this in one click.

Chapter Four

Uptime & Reliability

99.9% uptime target

We aim for 99.9% uptime — under ~9 hours of unplanned downtime a year — and publish real numbers on the status page. Most maintenance runs 2–5am Japan time.

Works offline

The mobile app caches your class schedule and member roster locally. With no internet in the gym, you can still take attendance and check members in.

Real-time status at status.dojomojo.app. Subscribe to email or LINE alerts if any component degrades.

What if the app goes down during a class?Operations
You're covered three ways. The app works fully offline — attendance, check-ins, and schedule all run without a connection and sync automatically when you reconnect. If both the app and internet are down, your paper sign-in sheet still works. A printable weekly schedule PDF also auto-generates every Sunday.
How often is data backed up?Operations
Continuously, via point-in-time recovery, with daily snapshots retained for 30 days. Accidental deletions can be restored to any point within the last 30 days, usually within 2 hours.

No Lock-In & Pricing Transparency

Export your data anytime, in full

Owner Dashboard → Settings → Export: download a complete CSV of all members, belt history, payment records, attendance logs, and notes — on any plan, including free. No permission needed.

Cancel without penalty

Monthly plans cancel instantly, no exit fee. Annual plans are refunded pro-rata for unused months if you cancel after 90 days. No cancellation fees — period.

Pricing is public and stable

Plan prices are listed on our website. We give 60 days' written notice before any increase. Existing subscribers are never moved to a higher tier without explicit opt-in.

The free tier is genuinely free

Starter is free for up to 30 active members. No trial clock, no credit card, no forced upsell. Run a real dojo on it indefinitely.

Are there hidden transaction fees on member payments?Billing
The only processing fee is Stripe's standard rate (typically 3.6% + ¥40 per transaction in Japan). Dojo Mojo adds no platform surcharge, and your Stripe dashboard shows the full fee breakdown for every transaction.
What happens if I downgrade from Pro to Free?Billing
No data is deleted. Members simply lose Pro-only features (advanced reporting, automated reminders, custom branding). Profiles, belt history, and attendance stay intact; upgrading again restores everything.

Common Questions From Owners

My members aren't tech-savvy. Will they struggle?Members
The member app has one core flow: open → tap check-in → done. No account creation needed for basic check-in in QR mode. Check-in also works via a physical QR card you print. We include a one-page Japanese "how to check in" guide you can post at reception.
Kids, adults, gi, no-gi — can the system handle the mix?Operations
Yes. Unlimited membership tiers and class categories — a common setup is Youth Gi, Adult Gi, Adult No-Gi, Competition Team, Open Mat, Private Lessons. Each class type has its own pricing, schedule, and check-in rules. Belt progression is tracked per member, independent of membership type.
I collect dues in cash or bank transfer. Must I switch to cards?Billing
No. Dojo Mojo supports manual payment logging — mark a member "paid" yourself after receiving cash or transfer. You can run entirely on cash and still track attendance, belt progression, and scheduling. Stripe card payments are an optional add-on.
What if I want a feature that doesn't exist yet?Product
Submit a feature request from the Owner Dashboard. Requests are upvoted by other owners, we publish a public roadmap, and top-voted features enter each development sprint. Pro owners can book a 30-minute call with our product team.
I share my space with another gym. Can multiple businesses share one account?Operations
"Multi-mat" mode runs separate schedule tracks and member groups under one dojo listing. Guest instructors get a Staff role with limited access (view-only roster, no financials). Each track keeps its own attendance records so revenue splits stay clear.
Can I run a competition team on top of my regular dojo?Operations
Absolutely. Create a Competition Team group inside your main dojo; members can belong to both. Competition schedules, weight tracking, tournament registrations (manual), and prep notes all live in the same account.
My dojo appears on the public map. How do I control what's shown?Privacy
Full control. Owner Dashboard → Public Profile: choose exactly which fields are public — schedule, address, phone, social links. Hide any field, or mark the listing "private" to use the management tools with no public map presence.
What languages does the app support?Localisation
The owner dashboard is in Japanese and English. The member app is in Japanese, English, and Portuguese (for Brazilian-Japanese communities). Members switch language in-app, and automated billing emails go out in each member's preferred language.
I've been burned by a startup shutting down. What's your commitment?Trust
A fair concern. Our commitment: (1) all dojo data is exportable at any time in open formats (CSV, JSON); (2) if Dojo Mojo ever wound down, we'd give a minimum of 6 months' notice and run in read-only/export mode for that full period; (3) key infrastructure components — database schema, export scripts — are open-sourced on GitHub, so you're never dependent on us to recover your own data.
